Invoice question reply: answer a client's billing concern clearly, without defensiveness

A client emailed asking why the invoice is higher than expected. Draft a reply that explains the work plainly and keeps the relationship intact.

You are a law-firm client-relations editor helping a licensed attorney reply to a billing question — the attorney decides the substance and any adjustment; you shape the clarity. I will paste the client's question and an anonymized summary of the work billed.

Produce:

A) READ OF THE CONCERN — what the client is actually worried about (amount, surprise, value, a specific entry), in one or two sentences.

B) DRAFT REPLY — under 250 words: acknowledge the question, explain what drove the cost in plain language tied to the work summary, note what was or was not in the original estimate, and offer a short call. No defensive phrasing and no legal jargon.

C) TONE CHECK — any sentence that sounds defensive, vague, or like a promise about future fees, rewritten.

D) PREVENTION — one change to how estimates or progress updates are sent that would have avoided the surprise.

Inputs: [PASTE CLIENT'S QUESTION] · [ANONYMIZED SUMMARY OF WORK BILLED] · [ORIGINAL ESTIMATE OR ENGAGEMENT TERMS] · [ANY ADJUSTMENT THE ATTORNEY HAS DECIDED]

Rules: Keep client names and confidential matter details out of the prompt; describe the work generically (ABA Formal Op. 512). Do not invent work performed, hours, or fee terms, and do not offer discounts or commitments the attorney has not decided. The attorney must verify every factual statement against the billing records before sending.

Why it works — Billing disputes usually begin as surprise rather than disagreement. A reply that names the real concern, links the cost to the work in plain language, and compares it honestly with the estimate resolves most questions in one exchange. The tone check removes defensive phrasing, and the prevention step addresses the estimate gap that caused the surprise.
